1. Who we are & scope
This Privacy Policy explains how EaseHawk Technologies Private Limited ("EaseHawk", "we"), operating the MoxSuite platform, handles personal data in connection with www.moxsuite.com, www.moxcrm.com, www.moxfinance.com and early-access enquiries. For personal data processed inside a LIVE Product on behalf of a business customer, EaseHawk generally acts as a processor/service provider under a Data Processing Agreement with that customer, and the customer's own privacy notice applies; this policy applies where EaseHawk decides the purposes and means of processing (as a data fiduciary under India's Digital Personal Data Protection Act, 2023 — "DPDP Act").
2. Summary of key points
- We collect what you give us on the early-access form, plus limited technical logs.
- We use it to respond within one business day, run early-access programmes, and send updates you asked for.
- We do not sell personal data and we do not use it for third-party advertising.
- Data is processed in India; we serve customers in the GCC and beyond.
- You can access, correct or delete your data, or raise a grievance, via hello@moxsuite.com.
3. Personal data we collect
Data you provide
- Early-access form: full name, work email, company name, company website, phone number, products of interest, and the outcome you describe.
- Correspondence: the contents of emails or messages you send us.
Data collected automatically
- Technical logs from our hosting infrastructure (IP address, user-agent, requested pages, timestamps) used for security and capacity purposes.
- The Website sets no first-party analytics cookies by default; see the Cookie Policy. Fonts are served by Google Fonts, which receives your IP address to deliver the font files.
Data from products (when LIVE and onboarded)
- Account details, workspace configuration and usage telemetry, processed under the applicable customer agreement and DPA rather than this policy.
4. Purposes & lawful bases
| Purpose | Data used | Basis (DPDP / GDPR where relevant) |
|---|---|---|
| Responding to your enquiry within one business day | Form data, correspondence | Consent; legitimate purposes connected with your voluntary request (DPDP s.7) / contract & legitimate interests |
| Operating early-access programmes and onboarding | Form data | Consent; performance of steps at your request |
| Sending product updates you asked for | Name, work email | Consent; withdrawable at any time via any message or hello@moxsuite.com |
| Security, abuse prevention and service integrity | Technical logs | Legitimate purposes / legitimate interests |
| Compliance with law and legal claims | As required | Legal obligation |
5. Cookies & similar technologies
Covered in full in our Cookie Policy. In short: no first-party cookies today; if analytics are enabled at launch, the Cookie Policy will list every cookie, its lifespan and your choices before deployment.
6. How we share personal data
- Service providers (processors): hosting and infrastructure, email delivery, customer-relationship tooling, and analytics if later enabled — each bound by contract to process only on our instructions.
- Within EaseHawk: teams who need it to respond to you, under confidentiality obligations.
- Legal: where required by law, regulation, or valid legal process, or to establish or defend legal claims.
- Business transfers: in a merger, acquisition or asset sale, subject to this policy's protections.
- Never: sale of personal data, or sharing for third-party behavioural advertising.
7. International data transfers
We operate from India and serve customers in the GCC and beyond; your data may be processed in India and in the countries where our service providers operate. Under the DPDP Act, cross-border transfers are permitted except to countries restricted by the Indian government; we will comply with any such notifications. For customers or visitors subject to the UAE PDPL, the Saudi PDPL or the EU/UK GDPR, we will put in place the transfer mechanisms those laws require (such as contractual safeguards) as part of customer DPAs.
8. Data retention
| Category | Retention |
|---|---|
| Early-access enquiries | While your interest is active, then up to 24 months from our last interaction, after which deleted or anonymised |
| Correspondence | Up to 36 months for record-keeping and dispute handling |
| Technical logs | Up to 12 months for security purposes |
| Data subject requests & grievance records | As required to demonstrate compliance |
We may retain data longer where required by law, and we may keep aggregated, anonymised statistics indefinitely.
9. Your rights
- Under the DPDP Act (India): the right to access a summary of your personal data and processing activities; to correction, completion and updating; to erasure where no longer necessary; to grievance redressal; and to nominate a person to exercise rights on your behalf.
- If you are in the EEA/UK: access, rectification, erasure, restriction, portability, objection, and the right to withdraw consent, plus complaint to your supervisory authority.
- GCC visitors: equivalent rights under the UAE PDPL / Saudi PDPL where they apply.
- Exercise any right by emailing hello@moxsuite.com; we will verify your identity and respond within the time limits applicable law requires.

In accordance with the DPDP Act and Indian IT rules, you may raise privacy grievances with our Grievance Officer:

We will acknowledge grievances promptly and aim to resolve them within the statutory period. If unresolved, you may approach the Data Protection Board of India.
11. Security
We apply reasonable technical and organisational measures appropriate to the risk, including encryption in transit, access controls on need-to-know basis, hardened hosting, and our engineering discipline of measurement-verified releases. No system is perfectly secure; if we learn of a personal-data breach affecting you, we will notify you and the authorities as applicable law requires.
12. Children
The Website and waitlist are intended for business users aged 18 and over, and we do not knowingly collect personal data from children. Where a future product (such as MoxCampus) involves data about minors, it will be provided to educational institutions under contracts containing the verifiable-consent and child-safeguard requirements of the DPDP Act and applicable local law, with processing controlled by the institution.
13. Product-specific notes
